Privacy Policy

BotHub ("we", "us", "our") values your privacy. This policy applies to BotHub apps on Android, iOS, and desktop, and to our official website.

1. Information we process

We process only the information needed to provide account, sync, and connection features:

  1. Account profile information: information you provide during registration or sign-in (for example email, username, display name, avatar).
  2. Authentication and security information: information used for sign-in, session management, and risk control (for example session records, token validity metadata, device records, login audit records).
  3. Cloud sync data (only when cloud features are enabled): synced records and related attachment/avatar references needed for cross-device sync.
  4. Technical connection and runtime information: technical logs required for relay/direct connection reliability and troubleshooting (for example IP address, connection timestamps, status, error codes, device/network environment data).

We do not sell your personal information.

We do not centrally collect or store third-party model API keys that you configure locally on your own device.

2. Why we process this information

We use the information above only to:

  1. Create and manage accounts and complete authentication.
  2. Provide cloud sync, attachment/avatar storage, and cross-device connectivity.
  3. Protect service security, prevent abuse, and troubleshoot incidents.
  4. Comply with legal obligations.

3. Local-first behavior and third-party processors

  1. BotHub follows a local-first model. Your local app data remains on your device by default.
  2. If you choose to sign in and use cloud features, relevant account and sync data is processed by our cloud service.
  3. Depending on features you use, third-party processors may include:
    • Google identity services (Google sign-in)
    • Email/SMTP delivery providers (verification codes)
    • Infrastructure providers (hosting/database/object storage/network relay)

Third-party processors handle data under their own terms and privacy policies.

4. Sharing and disclosure

We only share information when necessary:

  1. With service providers required to operate core functionality.
  2. To comply with law, regulation, legal process, or government request.
  3. To protect users or the public in emergency scenarios involving safety or property.

If a merger, split, or asset transfer occurs, we will require any successor entity to continue protecting data under this policy.

5. Data retention

  1. Account and cloud sync data: retained until account deletion or service termination, then deleted or anonymized unless longer retention is legally required.
  2. Login and runtime logs: retained only for periods reasonably necessary for security and anti-abuse. In routine operations we target up to 90 days, but specific records may be retained longer when required by law, dispute handling, or security investigations.
  3. Local device data: managed and deleted by you on your device.

6. Your rights

Subject to applicable law, you may:

  1. Access and correct your account information.
  2. Delete your account and request deletion of related personal information.
  3. Withdraw consent where processing is based on consent.
  4. Contact us for policy explanations or complaints.

7. Account deletion methods

You can request account deletion through either method below:

  1. In-app path: Settings -> Account Login -> Delete account.
  2. Web self-service path: see Account Deletion, then enter your account email and verification code in the page form.
  3. We may verify ownership before processing deletion requests.
  4. After deletion is completed, your cloud account data is removed from active systems except data that must be retained under legal/security obligations.

8. Mobile permissions

On Android/iOS, BotHub may request permissions only for features you actively use:

  1. Camera access: capture photos for messages.
  2. Photo library/storage access: choose and import media or files.
  3. Microphone access: voice input when enabled.

You can revoke permissions at any time in system settings, but related features may stop working.

9. Cross-border transfers

If cross-border transfer occurs because of infrastructure deployment or service providers, we will apply safeguards required by law (for example access controls and encryption where appropriate).

10. Children

If you are under the age required to provide valid consent in your jurisdiction, use BotHub under parent/guardian supervision.

11. Policy updates

We may update this policy based on product or regulatory changes. The latest version will be published on this page with an updated "Last updated" date.
